We are looking for a proactive and detail-oriented Administrative Assistant to support our Facilities Management (FM) team. The role involves coordinating office and building services, maintaining compliance documentation, and assisting in the smooth running of day-to-day FM operations.
Key Responsibilities
- Provide administrative support to the Facilities Manager and FM team.
- Coordinate service requests, maintenance schedules, and contractor visits.
- Maintain accurate records of inspections, permits, and compliance reports.
- Track and process purchase orders, invoices, and supplier contracts.
- Manage the FM helpdesk, logging and monitoring requests through to resolution.
- Ensure health, safety, and environmental documentation is up to date.
- Liaise with vendors, contractors, and building management.
- Support budget tracking and reporting for FM operations.
Key Skills and Qualifications
- Experience in an administrative or facilities support role preferred.
- Strong organizational and time management skills.
- Proficient in MS Office Suite
- Excellent communication and interpersonal skills.
- Ability to work independently and handle multiple priorities.
- Attention to detail and commitment to compliance and safety standards.
- High school diploma required or bachelor’s degree desirable.
- 1–3 years of experience in administration, ideally within Facilities Management or related field.
