Administrative Coordinator (for UAE National only)

ESSENTIAL DUTIES & RESPONSIBILITIES:

  • Answers and directs phone calls.
  • Maintains a filing system.
  • Offers general support to visitors (sponsors, startups, or students).
  • Budgets report for hall booking.
  • Understands the requirements for each event like Idea Competition and Demo Day.
  • Plans events with attention to financial and time constraints.
  • Books venues and schedules speakers.
  • Researches vendors (catering, decorators, musicians etc.) and choose the best combination of quality and cost.
  • Negotiates with vendors to achieve the most favorable terms.
  • Manages all event operations (preparing venue, invitations etc.).
  • Does final checks on the day of the event (e.g. tables, technology) to ensure everything meets standards.
  • Oversees event happenings and acts quickly to resolve problems.
  • Evaluates the event’s success and submit reports.
  • Supports the director to communicate with AUIC internal and external mentors.
  • Keeps track of startup achievements.

QUALIFICATIONS & EXPERIENCE:

  • BBA – Bachelor of Business Administration.
  • 1-3 years of experience in the field or in a related field.

KNOWLEDGE & SKILLS:

  • Excellent English communication skills; both written and verbal.
  • Strong organizational and planning skills
  • Organized, disciplined, able to perform under pressure and manage multiple priorities and parallel tasks.
  • Strong communicator; both written and verbal.
  • Strong and effective coordinator.
  • Excellent customer service skills.
  • Patient and problem solver.
  • Team Player.
  • Well organized.
  • Fast Learner for new software .
  • Social Media Maintenance skill sets.
  • Knowledge in Operating Systems, proficient in MS Office (Excel. Word, Power point), Internet.

WORKING CONDITIONS:

  • Work is normally performed in campus office as center is managed by administrative assistant.
  • It requires admin to attend outdoor innovation events to research on startups and alert them about center.
  • No physical risk involved in this job.

SUPERVISION:

Reports to: Director of Innovation Center
