The Administrative Secretary will provide high-level administrative and clerical support to ensure the smooth operation of daily office activities. The role requires excellent organizational skills, attention to detail, and the ability to handle confidential information with discretion.
Key Responsibilities:
- Administrative Support: Provide general administrative support to the Food & Beverage department, including handling phone calls, emails, and correspondence.
- Assisting with copying, scanning, faxing, emailing, note-taking, and travel bookings.
- Directing internal and external calls, emails, and faxes to designated departments.
- Preparing facilities and arranging refreshments for events, if required.
- Liaising with internal departments and communicating with the public.
- Reporting to management and performing secretarial duties.
- Monitoring office supplies and ordering replacements.
- Processing, typing, editing, and formatting reports and documents.
- Filing documents, as well as entering data and maintaining databases.
- Scheduling and Coordination: Organize and coordinate meetings, events, and reservations. Manage calendars and scheduling for the Food & Beverage team.
- Documentation and Reporting: Prepare and maintain reports, records, and documentation related to food and beverage operations. Assist with budgeting and financial tracking.
- Event Coordination: Support the planning and execution of food and beverage events, including managing guest lists, coordinating logistics, and ensuring all needs are met.
Key Qualifications:
- High School Diploma or GED.
- Formal qualification in office administration, secretarial work, or related training.
- 1-2 years of experience as an Administrative Secretary would be advantageous. (Preferably in hospitality)
- Proficient in MS Office (Word, Excel, PowerPoint, Outlook).
- Advanced proficiency in managing documents, spreadsheets, and databases.
- Ability to liaise internally and externally on administrative matters.
- Exceptional filing, recordkeeping, and organizational skills.
- Working knowledge of printers, copiers, scanners, and fax machines.
- Proficiency in appointment scheduling and call forwarding systems.
- Excellent written and verbal communication skills.
- Exceptional interpersonal skills.
