Position Title: Conference Services Manager
Location: Arrowwood Resort & Conference Center – Alexandria, MN
Reports To: Director of Sales & Catering
Position Overview
The Conference Services Manager is responsible for the successful planning, coordination, and execution of meetings, conferences, banquets, and special events at Arrowwood Resort. This role serves as the primary liaison between clients and the resort, ensuring seamless communication, excellent service delivery, and high guest satisfaction from contract to completion.
The ideal candidate will be detail-oriented, highly organized, and experienced in managing multiple events simultaneously while maintaining strong client relationships and supporting the resort’s reputation for outstanding service.
Key Responsibilities
Event Planning & Coordination
- Serve as the main point of contact for conference, meeting, and banquet clients after the sales process.
- Conduct detailed pre-event meetings with clients to confirm event requirements, timelines, menus, and room setups.
- Coordinate all aspects of assigned events, including lodging blocks, meeting space, audio-visual requirements, food & beverage, and recreational activities.
- Prepare accurate Banquet Event Orders (BEOs) and communicate details to operations, culinary, and banquet teams.
- Monitor event execution, proactively resolving issues to ensure client satisfaction.
Client Relations
- Build strong, long-term relationships with corporate, association, social, and group clients.
- Provide professional, timely, and proactive communication throughout the event cycle.
- Conduct post-event follow-ups to assess satisfaction, gather feedback, and encourage repeat business.
Operational Excellence
- Partner with the Director of Sales & Catering to maximize revenue opportunities through upselling menus, audio-visual, and add-on services.
- Ensure all events are executed in compliance with Arrowwood’s service standards, safety guidelines, and contractual obligations.
- Monitor event budgets, billing accuracy, and timely invoicing.
- Collaborate with operations to ensure flawless event setup, service, and teardown.
Leadership & Team Collaboration
- Work closely with banquet staff, culinary team, housekeeping, and front desk to ensure seamless guest experiences.
- Provide guidance and feedback to banquet captains and event staff as needed.
- Support staff training initiatives to elevate service delivery and guest satisfaction.
Qualifications
Education & Experience:
- Bachelor’s degree in Hospitality Management, Event Planning, or related field preferred.
- Minimum 3 years of conference services, catering, or event management experience, preferably in a resort or hotel environment.
- Proven track record of planning and executing large-scale conferences, weddings, or corporate events.
Skills & Competencies:
- Exceptional organizational and time management skills with attention to detail.
- Strong written and verbal communication abilities.
- Ability to manage multiple events simultaneously in a fast-paced environment.
- Proficiency with event management software, Microsoft Office Suite, and property management systems (Delphi/Opera experience a plus).
- Excellent problem-solving skills and ability to remain calm under pressure.
- Strong financial acumen and understanding of event budgets and billing.

Working Conditions
- Full-time, exempt position with flexibility to work evenings, weekends, and holidays as event schedules require.
- Fast-paced environment requiring long periods of standing during event execution.
