Your responsibilities and tasks:
- Scheduling/coordinating meetings, diaries, and travel arrangements.
- Ensure all direct reports of Country MD abide compliance in relation to travel management and other administrative compliance.
- Create and maintain documents, for Country MD.
- Facilitate, prepare, and ensure the smooth execution of Town Hall and other leadership meetings by coordinating with divisional representatives and key stakeholders to gather all necessary information.
- Collaborate with HR in preparation of Organogram in relation to business needs and share with Country MD.
- Support in event planning with marketing team. Align with Country MD and marketing team on the requirement of certain materials.
- Create professional internal communication messages on various platforms to the division for strategic initiatives, local announcements, action plans, newsletters, etc.
- Maintain and provide support to others for additional communication items as identified in the division’s communication plan
- Participate, coordinate, and ensure that participants deliver according to agreed actions on a variety of cross functional projects
- Coordinate onsite and off-site meetings including location booking, catering, setting agendas, taking meeting minutes.
- Handling confidential business and personnel information
- Review expense reports and get approval from Country MD as well as the creation of the Travel expense reports for Country MD when needed
- Coordinate local facility activities as necessary or directed by Country MD.
- Procuring required information for these representations from different departments.
- Maintains MD’s appointment schedule by planning and scheduling meetings, conferences, tele-conferences and travel.
- Other tasks and projects as assigned by manager
- Knowledge of Digital Marketing would be an advantage.

Proficient in both written and spoken English communication
Must be Proactive in ensuring deadlines are meet.
Must be able to independently work and collaborate with different teams to meet objectives.
