MAJOR DUTIES AND RESPONSIBILITIES
• Assist, coordinate and provide the necessary support to the Contracts & Procurement team in the various administrative activities of the section.
• Assist in resolving or escalating project contract compliance and variance issues.
• Develop and improve systems for contract performance monitoring that enable project and quality objectives to be met.
• Receive, keep, organise, submit and follow-up on the internal and external correspondence with customers, suppliers and government bodies.
• Maintain an up to date tracking log of all appropriate contracts & procurement documentation.
• Expedite the delivery of goods and services of special projects/contracts, coordinate the signature of delivery notes and completion/acceptance certificates, resolve non-conformances (returns, shortages, overages and quality issues), prepare expediting/penalty reports, verify receipt of services/supplies and vendor’s payments when required, and maintain applicable tracking files.
• Draft and prepare minutes of meeting and periodic reports.
• Oversee the provision of support and facility services such as stationary and office equipment.
• Assist in the various stages of sourcing, tendering and contracting when required to do so.
• Coordinate with vendors and the security section for supplier’s registration and gate pass approval.
• Keep the Contracts and Procurement team updated on vendor statuses for qualified vendor files.
• Maintain frequent and close contact with project and customer sites, including sub-suppliers to ensure that routine, day-to-day contract compliance issues are effectively monitored for early intervention.
• Travel to other locations to perform duties when required.
• Maintain the confidentiality and security of all company documents.
MINIMUM QUALIFICATIONS
• High school diploma is required; Bachelor’s degree is preferred, in business administration or equivalent field of study if an advantage.
• A minimum of two years of experience in an administration field is required.
• The ability to interact in a professional manner with all levels of employee and customer.
• An excellent grasp of Microsoft Office software is required.
• The ability to communicate effectively in English, both in writing and verbally is required.
• Have, or be able to obtain a valid UAE driver’s license.
