Position Overview:
We are looking to hire a competent and proactive female professional to manage our administrative operations, HR tasks, procurement processes, and handle front-office responsibilities. The ideal candidate will play a vital role in ensuring the smooth day-to-day functioning of our UAE office while supporting HR and purchasing functions with professionalism and efficiency.
Key Responsibilities:
Administrative Duties:
- Manage office supplies and inventory, ensuring timely replenishment.
- Handle all general office operations, maintenance coordination, and vendor management.
- Prepare and maintain accurate records, reports, and documentation.
- Organize office filing systems (both digital and physical).
- Ensure cleanliness and orderliness of the office premises.
Human Resources Support:
- Assist in recruitment efforts by coordinating with hiring managers and scheduling interviews.
- Maintain employee records and manage HR files and documents.
- Coordinate onboarding and exit procedures for employees.
- Monitor attendance and leave records and ensure HR policies are followed.
- Support the PRO in handling visa processing and employee documentation.
Procurement & Purchase:
- Source and negotiate with suppliers for the best pricing and terms.
- Raise purchase orders and manage procurement documentation.
- Track and manage deliveries and maintain inventory databases.
- Work closely with the Finance department for invoice reconciliation and budget tracking.
Front Office & Call Handling:
- Answer, screen, and forward incoming calls in a professional manner.
- Greet and assist visitors and clients with warmth and courtesy.
- Manage incoming and outgoing mail/couriers.
Candidate Requirements:
Gender: Female
Education: Bachelor’s Degree in Business Administration, HR, or related field.
Experience: 2–5 years in a similar role within the UAE preferred.
Skills:
- Strong organizational and multitasking abilities.
- Excellent communication and interpersonal skills.
- Proficiency in MS Office (Excel, Word, Outlook).
- Knowledge of basic UAE labour laws and procurement practices is a plus.
- Ability to handle sensitive information with discretion.
Working Hours:
Monday to Friday – 8:00 AM to 5:00 PM (flexible depending on business needs)
