Job Summary: We are seeking a highly organized and detail-oriented Administrative Assistant to support our e-commerce operations. The ideal candidate will be responsible for meticulously managing our website stock, creating new product listings in WooCommerce, maintaining accurate inventory records, and liaising with vendors to obtain updated pricing information. This role requires a proactive individual with strong analytical skills and a commitment to accuracy.
Key Responsibilities:
- Website Stock Management:
- Regularly monitor and update product stock levels on our website to ensure accuracy and prevent overselling.
- Identify low stock items and communicate replenishment needs to the relevant departments.
- Coordinate with the purchasing team to ensure timely stock updates upon arrival of new inventory.
WooCommerce Product Creation:
- Create new product listings in WooCommerce, including uploading product images, writing compelling product descriptions, setting prices, and configuring variations (e.g., size, color).
- Ensure all product information is accurate, consistent, and optimized for online visibility.
- Perform regular audits of existing product listings for accuracy and completeness.
Inventory Maintenance:
- Maintain precise inventory records across all platforms, ensuring synchronization between physical stock and digital records.
- Assist in conducting periodic inventory counts and reconciling discrepancies.
- Implement and maintain efficient inventory organization systems.
Vendor Price Acquisition:
- Communicate with various vendors to request and obtain updated product pricing information.
- Maintain a comprehensive database of vendor prices and terms.
- Analyze vendor pricing to ensure competitive positioning and profitability.
General Administrative Support:
- Assist with other administrative tasks as needed to support the e-commerce and operations teams.
- Prepare reports related to stock levels, sales trends, and vendor pricing.
- Contribute to process improvements for efficient inventory and product management.
Qualifications:
- Proven experience in an administrative or e-commerce support role.
- Strong proficiency with WooCommerce or similar e-commerce platforms is highly preferred.
- Excellent computer skills, including strong command of Microsoft Excel (for data entry, analysis, and reporting).
- Demonstrated ability to manage and maintain accurate inventory records.
- Experience in communicating with vendors and managing pricing information.
- Exceptional attention to detail and accuracy.
- Strong organizational and time management skills with the ability to prioritize tasks effectively.
- Excellent written and verbal communication skills in English.
- Ability to work independently and as part of a team.
- A proactive and problem-solving attitude.
Preferred Qualifications (Nice to Have):
- Knowledge of SEO best practices for product listings.
- Familiarity with other inventory management software.
- Experience in the Perfumery sector.
