Position Summary
The Administrative Engineer supports project execution through back-office technical coordination, ensuring that all project-related information is properly routed, recorded and tracked. The role focuses on documentation management, coordination among consultants, subcontractors, suppliers and contractors, financial tracking and follow-through on technical deliverables. Acting as a central link between involved parties, the Administrative Engineer represents the client’s interest by safeguarding project integrity, timelines and commercial outcomes.
Core Functional Responsibilities1. Technical Coordination and Back-Office Support
· Ensure all project documentation (drawings, submittals, RFIs, approvals) is properly routed, updated and archived.
· Support project managers by maintaining centralized up-to-date trackers for progress, deliverables and compliance.
· Follow through on open issues and pending submissions between consultants, contractors and internal teams.
· Coordinate technical clarifications between consultants and subcontractors to avoid project delays.
2. Project Communication and Meeting Management
· Act as the central administrative link between consultants, suppliers, contractors and internal departments.
· Prepare, circulate and file minutes of meeting (MoM) for all project-related discussions.
· Track follow-up items and ensure timely closure of issues raised during meetings.
· Assist in organizing coordination meetings, documentation reviews and internal briefings.
3. Project Financial Monitoring
· Support project financial tracking by validating submitted quantities, progress certificates and BOQs.
· Assist in the review and preparation of payment applications, variation claims and budget updates.
· Highlight cost discrepancies or risks in coordination to the Finance team.
· Ensure project trackers include commercial components aligned with execution stages.
4. Contractual Support and Client Representation
· Protect client interests by validating that contractor submissions comply with contract scope and timelines.
· Review correspondence drafts to ensure alignment with project objectives and contract terms.
· Coordinate responses to contractual queries with internal departments and consultants.
· Maintain a record of instructions, approvals and critical decisions to safeguard the project trail.
5. Documentation, Reporting and Compliance
· Ensure clear documentation of project instructions, approvals, decisions and variations.
· Maintain document logs and ensure traceability of all construction-phase documentation.
· Support compliance with authority submissions, insurance and regulatory approvals.
· Generate weekly trackers, progress reports and delay logs for internal and client reporting.
Requirements
· Salary range – 5-7K
· Minimum 8–10 years’ experience in technical project coordination or construction administration.
· Strong knowledge of BOQs, construction sequences and project documentation.
· Skilled in preparing minutes of meeting, trackers, reports and financial submissions.
· Proficient in MS Office, especially Excel and Word; experience with document control systems is an advantage.
· Strong communication and negotiation skills with attention to detail and documentation accuracy.
· Ability to coordinate across consultants, suppliers and subcontractors with a client-first approach.

Pay: AED5,000.00 - AED7,000.00 per month
