CONFERENCE PRODUCER JOB DESCRIPTION
Work under the supervision of the Director to perform the following tasks, with a focus on delivering high quality events and conferences for the company.
- Deliver high quality international events.
- Research and analyse the feasibility of developing potential conference topics into commercially viable events.
- Communicate by phone and email with key industry figures to determine the validity of proposed topics, sub themes, timing, and location.
- Create a comprehensive topic briefing document for all events that includes:
- An overview of the topic and its validity as a stand alone event.
- An assessment of the likelihood that the event will attract paying delegates.
- Highlights of current issues faced by the industry.
- Identification of potential speakers and resource persons.
- Key issues that the event will address.
- Research on other events covering the proposed topic to analyse possible conflicts in dates or overexposure.
- Potential sponsors for the event.
- A plan for a post conference internal report.
- A plan for a Rapporteur report to be circulated to attendees.
- Write the conference programme, invite speakers, liaise with speakers to ensure attendance, organise or assist in organising the event as required, and handle all matters related to the successful running of the event.
- In liaison with the Communications and Marketing divisions, support the marketing of sponsorship opportunities for company events and supervise the work of sales and marketing staff.
- Liaise with marketing officers to organise event marketing, promotion, publicity, sales, and related campaigns.
- Liaise with speakers throughout the conference production cycle.
- Assist with direct sales for delegate attendance and for potential sponsors when required.
- Assist with logistics planning, pre event logistics management, and onsite and post event logistics.
- Where necessary, assist with budgeting, financial matters, and cash management for events.
- Ensure the Director receives evaluation reports from event attendees, analyse the feedback, report to management, and use the information to influence future events.
- Carry out post event analysis for management assessment and reporting.
- Assist the Director in arranging conferences and other commercial events by managing tasks delegated by the Director.
- Undertake other duties as directed by the Director.
Profile and Qualifications Required:
- Excellent written and oral communication skills.
- Strong research skills, both online and by telephone.
- Strong editing skills. writing samples required.
- Experience working in a multicultural and international environment.
- Ability to use an international network of contacts for commercial purposes.
- Relevant communications and web experience.
- Proven ability in budgeting and managing projects to tight deadlines.
- Strong work ethic with attention to quality and detail.
- Ability to solve problems and work with appropriate technical and internal resources.
- Ability to manage multiple projects through highly effective organisational skills.
- Ability to make sound decisions quickly and efficiently.
- Willingness to handle cash and report promptly and accurately.
Note: The internship includes performance based incentives and a high chance of a full time position after the internship, subject to your performance.
