I. Handling all incoming and outgoing calls professionally, including client inquiries, agent coordination, and calls on behalf of management.
II. Managing the Manager’s calendar, coordinating meetings, and ensuring all stakeholders are informed and aligned.
III. Maintaining call logs, meeting notes, and timely follow-ups using the CRM system.
IV. Serving as the primary liaison between management, clients, and partners, ensuring smooth and clear communication.
V. Addressing client concerns, providing service-related information, and ensuring a positive customer experience.
VI. Supporting meeting preparations with agendas, documents, and follow-ups on action items.
VII. Maintaining accurate records and trackers and preparing reports on communications and client feedback.
VIII. Drafting and managing professional email communication, using tools like ChatGPT for content assistance.
IX. Assisting the Admin Executive and providing support in their absence.
X. Adhering to company SOPs and fulfilling additional responsibilities as assigned by management.
XI. Other roles & responsibilities to be assigned by the General Manager and / or the Managing Director.
Requirements:
● Previous experience in customer service, executive support, or real estate operations
● Hands-on experience using CRM systems and basic AI tools like ChatGPT
● Strong organizational, communication, and multitasking skills
● Proficiency in CRM platforms (e.g., Salesforce, HubSpot, or real estate-specific CRMs)
● Strong command of spoken and written English; Basic Arabic is compulsory
● Proficient in Microsoft Office (Word, Excel, Outlook)
● Comfort with tools like ChatGPT for communication enhancement
