Job Summary:
We are seeking a highly organized and proactive Administrative, Procurement & Personal Assistant to support our daily business operations. This role involves administrative tasks, procurement management, client coordination, HR support, bookkeeping, and serving as a Personal Assistant to the Executive Director. The ideal candidate should be detail-oriented, have strong multitasking abilities, and be capable of handling confidential tasks efficiently.
Key Responsibilities:
1. Administrative & Office Management:
- Organize and maintain records, schedules, and office documentation.
- Manage calendars, appointments, and meetings for the Executive Director.
- Handle correspondence, emails, and communications with internal and external stakeholders.
2. Procurement & Vendor Coordination:
- Serve as a point of contact for vendors and suppliers, ensuring smooth coordination.
- Negotiate terms and contracts with vendors for cost-effective procurement.
- Monitor and manage inventory, ensuring timely purchase and delivery of materials.
3. Sales & Client Coordination:
- Maintain relationships with clients and follow up on inquiries.
- Support business development efforts by assisting with proposals and client communications.
4. HR & Recruitment Support:
- Assist in the hiring process, including job postings, interviews, and onboarding.
- Prepare and manage employee contracts and maintain HR records.
5. Finance & Bookkeeping:
- Assist with financial records, expense tracking, and invoice processing.
- Ensure proper documentation and reporting of transactions.
6. Personal Assistance to the Executive Director:
- Handle confidential business and personal matters.
- Manage travel arrangements, meetings, and other executive tasks.
- Ensure smooth day-to-day operations and decision-making support.
Qualifications & Requirements:
- Bachelor’s degree in Business Administration, Accounting, HR, or a related field.
- Previous experience in administration, procurement, or finance is preferred.
- Strong organizational and multitasking skills.
- Excellent communication and interpersonal skills.
- Proficiency in Microsoft Office (Excel, Word, Outlook).
- Ability to work independently and handle multiple responsibilities efficiently.
Job Type: Full-time
Pay: AED4,000.00 - AED5,000.00 per month
