Job Summary:
The Facilities Management Coordinator is responsible for supporting the daily operations and maintenance of the organization's buildings and grounds. This role coordinates maintenance activities, vendor services, workplace safety, and facility-related projects to ensure the physical environment is functional, safe, and efficient for staff and visitors.
Key Responsibilities:
- Coordinate and oversee building maintenance and repair work.
- Serve as the first point of contact for all facility-related requests and issues.
- Maintain accurate records of maintenance activities, service contracts, and inspection reports.
- Liaise with contractors, service providers, and suppliers to ensure quality and timely delivery of services.
- Assist with space planning, office moves, and reconfigurations.
- Monitor and manage inventory of facilities supplies and equipment.
- Ensure compliance with health, safety, and environmental regulations.
- Conduct regular facility inspections to identify maintenance needs or safety hazards.
- Support emergency preparedness plans and building security systems.
- Manage work order systems and track task completion.
- Assist in budgeting and cost tracking for facilities-related expenses.
Qualifications:
- High school diploma or equivalent; Associate's or Bachelor's degree in Facility Management, Business Administration, or related field is preferred.
- 2+ years of experience in facilities management, office coordination, or a similar role.
- Strong organizational and multitasking skills.
- Proficiency in Microsoft Office and facility management software (e.g., CMMS).
- Excellent communication and interpersonal skills.
- Basic understanding of HVAC, plumbing, electrical, and general building systems.
- Ability to work independently and as part of a team.
Scope of work:
1. Daily Operations Management:
Oversee day-to-day FM activities including cleaning,
maintenance, security, and other soft/hard services.
2. Maintenance Coordination:
Schedule and monitor preventive and reactive maintenance
tasks, ensuring timely completion and minimal downtime.
3. Client & Vendor Liaison:
Act as the primary contact for client/site FM issues and
coordinate with service providers and contractors.
4. Reporting & Documentation:
Maintain records such as job cards, inspection reports, asset
logs, and prepare daily/weekly/monthly FM reports.
5. Helpdesk & Complaint Handling:
Track and ensure prompt resolution of maintenance
requests, complaints, and service calls.
6. Quality Assurance:
Conduct service quality inspections to ensure work meets
required standards.
7. Permit to Work & Access Control:
Monitor and control work permits and site access for
vendors and contractors as per procedures.
Preferred Skills:
- Certification in facility management (e.g., FMP, CFM) is a plus.
- Experience with vendor negotiation and contract management.
- Knowledge of workplace safety standards and building codes.
