We are looking for a detail-oriented and proactive Real Estate Admin with at least 1 year of experience in the real estate industry. The ideal candidate will support daily administrative tasks, coordinate with agents, assist in documentation, and ensure smooth office operations. Real estate experience is essential for understanding the fast-paced nature of the industry and managing listing and transaction processes.
Key Responsibilities:
- Handle day-to-day administrative tasks, including answering calls, emails, and managing calendars
- Prepare, organize, and maintain real estate documents (Form A, Form B, MOUs, tenancy contracts, listing agreements)
- Upload property listings on portals (e.g., Property Finder, Bayut, Dubizzle, etc.) and keep them updated
- Coordinate with agents to gather property details, images, and ensure all listings meet quality standards
- Schedule and confirm client appointments, property viewings, and inspections
- Maintain and organize digital and physical files for each listing and transaction
- Support with marketing materials, flyers, and social media property promotions
- Follow up on payments, commissions, and pending documentation
- Liaise with DLD, Trakheesi, and other real estate regulatory bodies as needed
- Track and manage leads and client inquiries via CRM systems
- Contacting developers and complete the listing process
- Consolidating & sharing sales MIS reports
Requirements:
- Minimum 1 year of administrative experience in a real estate company (UAE experience preferred)
- Knowledge of real estate processes, documents, and terminology
- Strong organizational and multitasking skills
- Proficient in Microsoft Office Suite (Word, Excel, Outlook)
- Experience with CRM platforms and real estate listing portals
- Excellent written and verbal communication skills in English
- Ability to work in a fast-paced environment and meet deadlines
