Job Summary:
The Front Office Coordinator plays a dual-facing role at Maison de Vacances, serving as the first point of contact for both guests and property owners. This role is responsible for handling reservation inquiries, booking coordination, and guest communication, while also supporting owner onboarding, service agreements, and documentation. The ideal candidate is customer-focused, detail-oriented, and well-versed in hospitality booking systems.
Key Responsibilities:
Guest Booking & Reservation Support
- Manage daily walk-in and online reservation inquiries across platforms (Airbnb, Booking.com, direct bookings)
- Process bookings, update availability, and ensure accuracy in reservation data
- Coordinate check-in/check-out schedules with the operations and housekeeping teams
- Respond promptly to guest questions, requests, or issues related to bookings
- Ensure all booking procedures comply with internal policies and DTCM guidelines
Owner Coordination & Handling
- Welcome potential property owners and explain Maison de Vacances’ services and holiday home model
- Assist in preparing and collecting all onboarding documentation, including:
- Holiday Home Service Agreements
- DTCM registration documents
- Unit details and inventory forms
- Schedule inspections, photography, and permit applications in coordination with the backend team
- Track and follow up on pending owner tasks or missing documents
Front Office Administration
- Maintain records of guest reservations, owner leads, and walk-in inquiries
- Keep daily logs of activity and submit basic reports to management
- Coordinate internal communication between sales, guest services, and operations teams
- Ensure the front office and reception area are clean, organized, and guest-ready at all times
Qualifications:
- Minimum 2 years of experience in hospitality, reservations, or property coordination
- Proficient in reservation and property management tools (e.g., Guesty, OTA platforms, CRM systems)
- Strong communication and customer service skills
- Well-organized and detail-oriented with the ability to multitask
- Fluent in English; Arabic or French is a plus
