Office Manager
Location: DIFC, UAE
Schedule: Monday to Friday, 40 hours
Work model: Onsite
Role Overview:
The Office Manager will oversee day-to-day office operations in DIFC and support ADGM office activities. This role ensures a well-organized, professional environment, acting as the main point of contact for facilities, IT, and office management matters, while assisting the country manager in administrative and operational tasks.
Key Responsibilities:
Office Operations & Facilities Management
- Manage reception, ensuring a professional and welcoming environment for staff and visitors.
- Maintain office supplies, stock, and groceries, ensuring adequate inventory levels.
- Act as primary contact for group IT and facilities-related queries.
- Coordinate with local property management and service providers for the DIFC/ADGM offices.
- Travel to the ADGM office at least once per quarter to review equipment, supplies, and office conditions.
Team Support & Administration
- Assist with team onboarding and offboarding processes.
- Support the country manager in managing appointments, leave tracking, and maintaining the team calendar, including absences, anniversaries, and events.
- Assist with company events and team engagement initiatives.
Operations & Compliance Support
- Support operations with client onboarding, incorporations, and filings, as required.
- Assist with updating annual filings for local subsidiaries.
- Provide ad-hoc support to operational teams to ensure smooth office and client-related processes.
Requirements:
- Proven experience in office management, preferably in corporate services or financial services.
- Strong organizational and administrative skills.
- Excellent communication and interpersonal abilities.
- Proactive, with the ability to manage multiple tasks and priorities.
- Comfortable liaising with property managers, IT teams, and external service providers.
- Flexibility to travel to ADGM office quarterly.
- Strong attention to detail and problem-solving skills.
