Job Summary:
The Office Staff will be responsible for managing basic accounting tasks, purchase entries, and stock management duties. The ideal candidate must be organized, detail-oriented, and capable of handling multiple responsibilities efficiently to support smooth operational flow.
Key Responsibilities:
Accounts Management:
- Perform basic accounting tasks including data entry, invoice processing, and petty cash handling.
- Ensure accurate recording and filing of financial documents.
- Reconcile basic financial discrepancies by collecting and analyzing account information.
- Assist in the preparation of regular financial reports.
Purchase Entry:
- Record all purchase transactions accurately in the accounting software.
- Verify purchase orders, delivery notes, and invoices.
- Coordinate with vendors to ensure timely delivery of goods.
- Maintain and update purchase records and documentation systematically.
Stock Management:
- Monitor and maintain accurate inventory records.
- Conduct regular stock checks and audits to maintain inventory accuracy.
- Update inventory management system for stock movements.
- Identify and report stock discrepancies or shortages.
Administrative Support:
- Assist in general office duties as required.
- Handle internal communications regarding accounts, purchases, and stock.
- Maintain organized and accessible filing systems for quick retrieval of documents.
Qualifications & Skills:
- High school diploma or equivalent; additional qualifications in accounting or inventory management will be a plus.
- Previous experience in basic accounting, purchasing, or stock management preferred.
- Proficiency in MS Office (Excel, Word, gmail).
- Experience with accounting and inventory software is advantageous.
- Strong organizational and multitasking abilities.
- Good verbal and written communication skills.
- Attention to detail and accuracy.
Work Environment:
- Office-based role with regular interaction across departments.
- Standard office working hours; occasional flexibility may be required based on workload.
