The purpose of this role is to facilitate and support the Performing Arts Faculty, with a specific focus on the Music department including the administration required to support the instrumental programme and the organisation of Performing Arts events such as trips, productions, workshops and concerts.
Key Responsibilities – Performing Arts Administrator
- Facilitate and support Performing Arts teachers in carrying out their daily duties
- Coordinate daily logistical planning for all visiting music and drama teachers to ensure smooth teaching operations
- Review and manage instrumental staff timetables, resolve scheduling issues, and ensure visibility for relevant stakeholders
- Administer Performing Arts-related events such as scholarship applications, trips, workshops, competitions, and concerts
- Manage the Performing Arts email inbox, ensuring timely and professional communication with parents and staff
- Promote and coordinate all aspects of school concerts and productions, including internal events and professional series
- Attend and take minutes at department meetings
- Maintain a strong understanding of the Performing Arts calendar and support with logistical planning and delivery
- Communicate effectively with parents both verbally and in writing on a daily basis
- Coordinate logistics and administration for music and LAMDA examinations
- Maintain and organise accurate digital documentation including instrumental sign-ups and consent forms
- Oversee room bookings using the school's online system
- Manage purchasing and equipment ordering for the Performing Arts department
- Ensure faculty spaces (physical and digital) are maintained to a high standard
Additional Responsibilities
- Support administrative tasks related to instrument maintenance and repair
- Assist with Front of House duties for concerts, events, and school community functions
Qualifications & Experience
Required:
- Minimum 2 years of administrative experience
- Strong IT skills, including confidence with Microsoft Office and other relevant platforms
- Proven organisational skills and ability to manage multiple tasks
- Confident use of social media platforms for communication and promotion
- Excellent interpersonal and communication skills
- Determined, resilient, and hardworking approach
- Willingness to learn new technologies and systems
- Ability to work to deadlines and problem-solve under pressure
Preferred:
- Experience in a school environment
- Understanding of and enthusiasm for Performing Arts
- Experience working with children and coordinating student-focused programmes
- Familiarity with music department operations
- Experience in data handling or analysis
- Ability to create and manage engaging digital content
