Key Responsibilities for Admin Officer – Real Estate Dubai
Compliance and Documentation:
- Act as liaison between the brokerage firms and the Developer.
- Prepare, review and organise real estate documents, including purchase agreements, lease contracts, disclosures, and closing paperwork, ensuring accuracy, completeness, and compliance with RERA/DLD regulations.
- Verify that contracts and forms are properly signed, dated, and stored securely.
- Track transaction timelines and deadlines, coordinating with agents, clients, title companies, and lenders to ensure smooth closings.
- File and archive transaction records in compliance with legal and company standards.
- Client Communication and Support:
- Act as the first point of contact for client inquiries via phone, email, or in-person, providing prompt and professional responses.
- Schedule property showings, open houses, and client meetings, ensuring alignment with agents’ and clients’ availability.
- Follow up with clients post-transaction to ensure satisfaction and address any outstanding concerns.
Database and Records Management:
- Maintain and update client and property databases with accurate contact details, property specifications, and transaction statuses.
- Input and update listings on Multiple Listing Services (MLS) (Bayut, Property Finder, Dubizzle) and other real estate platforms, ensuring all information is current and error-free. Organise digital and physical files for easy access and retrieval.
- Scheduling and Calendar Management: Organize and maintain agents’ calendars, scheduling appointments, meetings, and property inspections with precision.
- Send reminders to agents and clients for upcoming events or deadlines to ensure timely follow through.
