Job Overview:
We are seeking a proactive and highly organized Assistant to provide comprehensive administrative and operational support to the management team. The ideal candidate will excel in coordinating daily activities, managing communications, scheduling, and ensuring the smooth execution of managerial tasks. This role requires excellent communication skills, discretion, attention to detail, and the ability to handle multiple priorities in a fast-paced environment.
Key Responsibilities:
- Manage and maintain the manager’s calendar, including scheduling meetings, appointments, and travel arrangements.
- Draft, review, and prepare professional correspondence, reports, presentations, and other documents on behalf of management.
- Screen, prioritize, and respond to incoming emails, phone calls, and other communications in a timely and professional manner.
- Coordinate and prepare materials for meetings, including agendas, minutes, and follow-up actions.
- Assist in project coordination by tracking deadlines, monitoring progress, and preparing status updates for management.
- Maintain and organize confidential files, records, and documentation to ensure accuracy and accessibility.
- Liaise with internal departments and external stakeholders to facilitate smooth communication and workflow.
- Support the manager in decision-making by gathering, analyzing, and presenting information as required.
- Handle general office management tasks, including procurement of office supplies, expense tracking, and logistics coordination.
- Ensure a high level of professionalism and confidentiality in all interactions.
Qualifications:
- Bachelor’s degree in Business Administration, Management, or related field preferred.
- Proven experience as an Executive Assistant, Personal Assistant, or Administrative Coordinator.
- Strong verbal and written communication skills in English (Arabic is a plus).
- Excellent organizational, multitasking, and time-management abilities.
- Proficiency in MS Office Suite (Word, Excel, PowerPoint, Outlook); experience with ERP or CRM systems is an advantage.
- High level of discretion, integrity, and professionalism.
- Ability to work independently, anticipate needs, and take initiative.
- Strong interpersonal skills with the ability to interact effectively at all levels of the organization.
