We are looking for a highly efficient and detail-oriented Executive Secretary with strong expertise in Human Resources and Administrative Management. The ideal candidate will provide comprehensive support to senior management while overseeing key HR and admin functions to ensure the smooth operation of day-to-day business activities.
Key Responsibilities:
Executive Support:
- Provide high-level administrative and secretarial support to the Managing Director or senior leadership
- Manage executive calendars, schedule meetings, organize travel and accommodations
- Draft, edit, and manage official correspondence, reports, and presentations
- Coordinate internal and external communications on behalf of the executive office
- Handle confidential documents and information with discretion
- Assist in the recruitment process: job postings, screening resumes, and scheduling interviews
- Manage employee records and HR databases (physical and digital)
- Coordinate onboarding and exit formalities
- Monitor attendance, leave applications, and payroll coordination
- Support implementation of HR policies and ensure labor law compliance
- Assist in organizing training sessions, appraisals, and employee engagement activities
- Oversee general office operations and ensure the workplace runs efficiently
- Manage office supplies, stationery, and equipment procurement
- Liaise with vendors, contractors, and service providers
- Ensure facility maintenance, cleanliness, and safety measures are upheld
- Manage filing systems and ensure proper documentation of records
- Support the organization of company events, meetings, and staff activities
- Prepare and manage administrative budgets and expense tracking
Qualifications:
- Bachelor’s degree in Business Administration, HR Management, or related field
- 3–6 years of experience in executive assistance, HR coordination, and office administration
- Strong organizational and multitasking abilities
- Excellent verbal and written communication skills
- Proficiency in MS Office Suite and HR management systems
- Ability to work independently and maintain strict confidentiality
- Preferably having UAE Driving License
