The Role: As a European Executive Assistant, you will serve as the trusted right hand to a C-level executive, acting as a strategic partner to ensure seamless operations and maximum efficiency. You will be instrumental in managing complex schedules, facilitating critical communications, and proactively supporting strategic initiatives. This role requires a high degree of autonomy, exceptional judgment, and the ability to operate with precision in a multicultural and demanding professional landscape.
Key Responsibilities:
- Executive Support & Calendar Management:
- Proactively manage and maintain complex calendars, scheduling appointments, meetings, and conferences across multiple time zones.
- Anticipate and resolve scheduling conflicts, demonstrating exceptional foresight and problem-solving skills.
- Act as a gatekeeper, prioritizing and optimizing the executive's time to ensure focus on strategic priorities.
- Travel & Logistics Management:
- Arrange comprehensive international and domestic travel itineraries, including flights, accommodations, ground transportation, and visa requirements, often with last-minute changes.
- Prepare detailed travel briefs and ensure all logistical aspects are meticulously handled.
- Communication & Correspondence:
- Serve as the primary liaison for internal and external stakeholders, including high-profile clients, government officials, and board members.
- Draft, proofread, and edit highly professional correspondence, reports, presentations, and other critical documents with impeccable grammar and attention to detail.
- Screen and prioritize incoming communications (emails, calls, messages), responding on behalf of the executive where appropriate and exercising sound judgment.
- Meeting & Event Coordination:
- Prepare agendas, pre-reading materials, and presentations for various meetings (internal, board, client, strategic).
- Attend meetings, accurately capture minutes and action items, and ensure timely follow-up on all deliverables.
- Plan and coordinate corporate events, conferences, and special projects, managing all associated logistics.
- Information Management & Confidentiality:
- Maintain highly organized and secure digital and physical filing systems for confidential and sensitive information.
- Handle all matters with the utmost discretion, professionalism, and integrity.
- Conduct research, compile data, and prepare insightful reports as required to support executive decision-making.
- Operational & Strategic Support:
- Assist in the planning and execution of strategic initiatives and projects, tracking progress and providing regular updates.
- Process and track expense reports, ensuring accuracy and compliance with company policies.
- Proactively identify opportunities to streamline processes and improve efficiency within the executive office.
- May assist with basic HR-related administrative tasks for the executive's direct reports, such as leave requests.
Qualifications:
- Education: Bachelor's degree in Business Administration, Communications, or a related field is preferred.
- Experience:
- Minimum of 3 years of progressive experience as an Executive Assistant, with at least 2 years directly supporting C-level executives (CEO, COO, CFO, etc.) in a demanding corporate environment.
- Demonstrable experience working with European executives and a strong understanding of European business etiquette and cultural nuances is highly advantageous.
- Experience within the real estate or investment sector is a plus.
Skills & Competencies:
- C-level Proficiency: Proven ability to manage complex calendars, international travel, and confidential matters for top-tier executives.
- Exceptional Communication: Superior written and verbal communication skills in English are essential. Fluency in another European language (e.g., French, German, Spanish) is a significant asset.
- Organizational Excellence: Meticulous attention to detail, strong organizational and time management skills, and the ability to multitask and prioritize effectively under pressure.
- Proactive & Resourceful: A highly proactive approach with the ability to anticipate needs, identify potential issues, and independently find solutions.
- Tech Savvy: Advanced proficiency in Microsoft Office Suite (Outlook, Word, Excel, PowerPoint) and experience with various collaboration and project management tools.
