Real Estate Office Administrator – Job Responsibilities
1. Office & Administrative Support
- Manage phone calls, emails, and correspondence with clients, agents, and partners.
- Schedule and confirm meetings, property viewings, and appointments.
- Maintain and organize office supplies, documents, and records.
- Prepare contracts, tenancy agreements, and other real estate documents for signature.
- Assist with filing, data entry, and maintaining a CRM/database of leads and listings.
2. Listing & Marketing Management
- Coordinate property listings on portals (Bayut, Property Finder, Dubizzle, etc.).
- Work with photographers/videographers for property shoots.
- Monitor and renew property ads, ensuring all listings remain updated.
3. Client & Agent Support
- Welcome and assist walk-in clients at the office.
- Support real estate agents with preparing presentations and sales kits.
- Handle inquiries and direct leads to the sales team.
- Follow up on leads and client requests where needed.
4. Financial & Documentation Tasks
- Issue invoices, receipts, and assist with payment follow-ups.
- Keep records of RERA forms, tenancy contracts, and government documents.
- Support in preparing reports for management (sales reports, lead reports, etc.).
5. Government & Compliance
- Handle Ejari registrations and cancellations (if in Dubai).
- Liaise with DLD, RERA, and other authorities for permits or approvals.
- Ensure all documents comply with UAE real estate laws and company policies.
6. Event & Coordination
- Assist in organizing open houses, property events, and team meetings.
- Coordinate with vendors (cleaners, maintenance teams, contractors) for property readiness.
7. General Office Management
- Oversee office maintenance (cleanliness, utilities, etc.).
- Support HR in onboarding new agents/staff (if needed).
- Keep track of agent schedules and provide administrative assistance to the sales team.
