We are looking for a Team Coordinator/Admin to undertake a variety of day-to-day operations on behalf of the team. Your aim is to ensure the smooth operations of the company and correct compliance with legislation and regulations.

Duties and responsibilities:

  • Oversees visitor management and processes; welcomes visitors by greeting them, in person or on the telephone; answering or referring inquiries, providing refreshments when required
  • Maintains telecommunication system professionally by following company instructions for in-house phone operation
  • Managing diaries and organising in-house and external meetings, appointments and events for the team members, and updating them on relevant information, tasks and deadlines
  • Typing, compiling and preparing emails, reports, presentations and correspondence
  • Booking and arranging travel, transport and accommodation on behalf of the team
  • Organising and managing databases and filing systems
  • Forecasting, ordering and receiving of office stationery and groceries to ensure that adequate stock levels are maintained
  • Liaises with IT to ensure any IT equipment that is broken or not working is fixed
  • Liaises with building maintenance to report and ensure resolution of any building maintenance issues
  • Liaises with company driver to coordinate document delivery and cheque collection
  • Coordinates mail flow in and out of the office
  • Processes online registrations and applications as instructed
  • Coordinates with Finance Department for any required payments
  • Coordinates with staff in other departments and with external contacts where required
  • Implementing and maintaining HR-specific and general procedures/administrative systems
  • Acts as back up for other Team Coordinators when on leave, absent or during busy periods
  • Maintains safe and clean reception area & meeting rooms by complying with procedures, rules, and regulations
  • Contributes to team effort by accomplishing related results as needed
  • Always look professional and decent with a friendly and pleasant attitude

Requirements:

  • Fluent in spoken and written English, Arabic is a bonus
  • Administrative experience is required
  • Excellent communication skills
  • Excellent organisational and time-management skills and able to multitask to meet strict deadlines

A knowledge of standard software packages and the ability to learn company-specific software if required.

Job Types: Full-time, Permanent

Salary: AED3,000.00 to AED5,000.00 /month
