Job Description:
We are looking for a highly organized and experienced Head of Operations to oversee the administrative, operational, and office management functions of our growing real estate company. The ideal candidate will have a strong background in real estate administration, excellent coordination skills, and the ability to manage both internal processes and external developer relationships efficiently.
This role is crucial in ensuring the smooth operation of our office, managing developer portals, CRM systems, staff administration, and providing key operational support to the CEO and sales team.
Key Responsibilities
1. Administrative & Executive Support
- Manage and streamline all administrative activities, ensuring efficient office operations.
- Act as the key liaison between the CEO and internal teams, real estate agents, clients, and external stakeholders.
- Organize, maintain, and securely manage important documents, contracts, listings, and agreements.
- Handle correspondence, emails, scheduling, and communication on behalf of the CEO and management team.
- Prepare property reports, presentations, contracts, and market research as required by the leadership team.
- Support recruitment and onboarding processes for administrative and real estate staff.
2. Real Estate Developer Portal Management
- Take ownership of managing and maintaining all developer portals (e.g., Emaar, Meraas, DAMAC, Sobha, etc.).
- Ensure all listings, transactions, and updates on developer platforms are accurately entered and maintained.
- Monitor payments, commissions, NOCs, and necessary approvals through developer portals.
- Liaise with developers’ support teams to resolve portal-related issues promptly.
- Ensure the CEO and management have full access and rights to all necessary portal features.
3. CRM & Sales Process Coordination
- Manage and maintain the company’s real estate CRM system, ensuring it is up-to-date with client leads, interactions, and sales progress.
- Oversee the accurate entry of property listings, client information, and deal status.
- Generate timely sales reports, lead tracking, and performance metrics for the CEO and sales team.
- Work closely with agents to ensure smooth workflow between CRM, developer portals, and internal processes.
4. Office & Staff Management
- Oversee daily office operations, ensuring a well-maintained, organized, and professional work environment.
- Manage office utilities, service providers, supplies, and contracts to ensure uninterrupted operations.
- Administer HR-related processes such as attendance, leave management, employee files, and staff coordination.
- Supervise administrative staff, receptionists, and office support personnel.
- Coordinate team activities, meetings, and internal events to foster a cohesive work culture.
5. Compliance & Documentation Management (Secondary Market)
- Prepare, complete, and file all forms and documentation related to secondary market real estate transactions.
- Coordinate with agents, clients, developers, and government entities for approvals and processing.
- Ensure compliance with timelines and documentation standards.
- Maintain a system for tracking all ongoing deals, status updates, and related paperwork.
6. AML & Regulatory Compliance
· Lead the company regulatory and compliance needs together with all Anti-Money Laundering (AML) efforts in line with UAE and RERA guidelines.
· Ensure strict adherence to KYC procedures and verification protocols for all clients.
· Stay up to date with regulatory changes and communicate compliance updates to relevant teams.
· Maintain AML registers and documentation; file STRs (Suspicious Transaction Reports) when necessary.
· Provide internal training on AML and compliance best practices.
7. Additional Responsibilities
- Plan and execute corporate events, exhibitions, and team-building activities.
- Provide project coordination and operational support to the CEO for ongoing real estate projects.
- Handle confidential matters with discretion and professionalism.
- Perform any additional duties to support the smooth running of the business.
Qualifications & Experience:
- 3 Years of proven experience as an Operations Manager, Office Manager, or in a senior administrative role within the real estate industry.
- Strong understanding of real estate developer portals (e.g., Emaar, Sobha) and CRM systems.
- Knowledge of UAE real estate regulations, documentation, and compliance is highly preferred. Secondary Market know-how is a must.
- Excellent organizational, leadership, and multitasking skills.
- Tech-savvy, with proficiency in office software, CRM systems, and real estate platforms.
Skills & Attributes:
- Strong communication skills (written and verbal) in English; additional languages are a plus.
- High level of professionalism, confidentiality, and integrity.
- Proactive, solution-oriented, and capable of working independently.
- Strong interpersonal skills with the ability to coordinate between management, staff, developers, and clients.
