Job Description:
We are seeking a highly organized and detail-oriented Office Administrator / Executive Assistant to manage a wide range of administrative and operational tasks. The ideal candidate will be proficient in document handling, report writing, scheduling, and fluent in both English and Arabic (spoken & written) . This role requires strong communication skills, meticulous attention to detail, and the ability to multitask efficiently in a fast-paced environment.
Key Responsibilities:
- Document Management: Type, format, and maintain official documents, quotations, and technical reports.
- Records & Compliance: Track deadlines for license renewals, contracts, and compliance documents; ensure proper filing (digital & physical).
- Meeting Support: Prepare meeting minutes, presentations (PowerPoint), and reports.
- Scheduling & Coordination: Manage calendars, schedule meetings, and arrange travel.
- Bookkeeping & Finance: Assist with basic accounting, financial records, and expense tracking.
- Office Operations: Handle procurement, inventory, and general secretarial tasks (emails, calls, correspondence).
- Translation: Accurately translate Arabic documents to English (traditional methods).
Requirements:
- Experience: Proven background as an Office Administrator, Executive Assistant, or similar role .
- Languages: Fluent in English & Arabic (spoken & written – mandatory).
- Technical Skills: Advanced proficiency in MS Office (Word, Excel, PowerPoint, Outlook) & Google Workspace.
- Soft Skills: Exceptional organizational, multitasking, and discretion with confidential data.
- Writing Skills: Strong technical writing, proofreading, and creative writing abilities.
- Finance Knowledge: Mandatory understanding of bookkeeping and basic accounting.
