- Answering and directing phone calls and emails
- Scheduling appointments, meetings, and property showings
- Maintaining and organizing office files, records, and databases
- Preparing and proofreading documents, contracts, and correspondence
- Ordering office supplies and managing inventory
- Assisting agents with listing and closing processes
- Preparing listing agreements, purchase agreements, and disclosures
- Coordinating with clients, agents, lenders, inspectors, and title companies
- Managing MLS (Multiple Listing Service) entries and updates
- Creating and distributing marketing materials (flyers, brochures, online listings)
- Greeting clients and visitors in person or virtually
- Providing basic information about properties and services
- Following up with leads and maintaining client communication logs
- Ensuring all documents are complete and compliant with local laws
- Tracking deadlines for contingencies, inspections, and closings
- Filing and archiving transaction records
