Job Summary
We are seeking a sharp, detail-oriented Strategy & Operations Manager to support the CEO/Chairman across strategic, operational, and administrative functions. This role requires someone who is intelligent, organized, emotionally mature, and capable of connecting information across multiple business units, documents, and meetings.
The ideal candidate will act as a second brain to the CEO , someone who reads everything, understands what is missing, summarizes key points, and proactively flags issues or follow-ups. This is not a routine admin role; it’s a high-trust position for someone capable of managing sensitive information, structuring chaos, and enabling top-level decision-making.
This role goes beyond executive support to include building operational systems, aligning company-wide initiatives, and ensuring smooth coordination across all business units as the company scales.
Key Responsibilities
1. Strategic Support & Meeting Follow-Up
- Attend or review high-level meetings and summarize key takeaways, next steps, and deadlines.
- Translate strategic decisions into actionable company-wide plans, ensuring alignment across departments and clear ownership of deliverables.
- Track what was promised vs. what was delivered and highlight gaps, inconsistencies, or delays.
- Proactively follow up with consultants, executives, or departments to ensure completion of tasks.
2. Document Oversight & Cross-Checking
- Review all incoming documents, proposals, PDFs, and contracts before the CEO sees them.
- Compare against previous communications to detect omissions, mismatches, or missing components.
- Maintain a log of versions, deliverables, and supporting files.
3. Information Management & Organization
- Organize all digital files and folders by project, partner, or priority — ensuring fast retrieval.
- Maintain internal documentation such as action trackers, meeting logs, and filing systems.
- Ensure confidential files are kept secure and shared only through the CEO’s approved channels.
4. Operational Systems & Scaling
- Design and implement internal systems for task tracking, reporting, and cross-functional workflows.
- Define and monitor KPIs across departments to ensure operational alignment with company objectives.
- Support onboarding of new hires by defining roles, workflows, and performance metrics.
- Act as the central point of accountability for operational execution, ensuring nothing falls through the cracks.
5. Communication & Coordination
- Liaise on behalf of the CEO with internal teams, partners, or consultants — always representing the office professionally.
- Draft executive summaries, internal memos, and structured outlines as needed.
- Provide reminders, nudges, and gentle escalation when deadlines are missed.
- Coordinate with internal teams and external partners to drive execution of strategic initiatives and maintain progress across all fronts.
6. Systems & Tools
- Use office software, digital productivity tools, and collaboration platforms to organize information (e.g., Microsoft Office, Google Workspace, Notion, task/project trackers, etc.).
- Align with the CEO’s preferred digital workflows and avoid personal device usage for official records.
7. Mandatory AI & Productivity Mindset
- This is not a traditional secretary role. Candidates must actively embrace AI and digital productivity tools as core to how they think and operate. Proficiency with platforms like ChatGPT, Otter.ai, Notion, and AI-enhanced task managers is expected from day one.
- The ideal candidate is not just tech-comfortable — they are tech-forward: constantly seeking smarter, faster, more accurate ways to execute tasks, write documents, organize data, and support leadership.
- You will be expected to automate repetitive work, leverage AI for research and communication, and maintain zero tolerance for inefficiency or outdated workflows.
- Candidates who do not use or resist AI-enhanced tools are not a fit for this role or this company.
8. Required Skills & Attributes
- Excellent written and spoken English.
- Highly analytical, with the ability to connect dots across documents and meetings.
- Strong operational management and process-building skills, especially in startup or scaling environments.
- Ability to define KPIs, structure workflows, and build systems in unstructured settings.
- Structured thinker with a strong sense of priority and time management.
- Emotionally intelligent; knows how to push diplomatically when needed.
- Reliable, loyal, and discreet — handles confidential information with care.
- Comfortable saying, “Here’s what’s missing” or “Here’s what we agreed, and here’s what we got.”
- Tech-savvy and able to use modern tools to organize data and communication.
9. Education & Qualifications
- Bachelor’s degree in Finance, Accounting, Economics, or Law (required).
- Master’s degree in Business Administration (MBA) or a related business discipline (preferred).
- Strong understanding of business structures, legal workflows, and financial documents is essential.
- Certifications like CFA Level 1, CMA, or PMP are a plus but not required.
10. Work Environment & Reporting
- Reports directly to the Chairman/CEO.
- Expected to work in-person (not remote), with high flexibility and responsiveness.
- May occasionally accompany the CEO to key meetings or act as liaison.
- This role will evolve into a senior leadership role as the team and the company expands.

Pay: AED10,000.00 - AED12,000.00 per month
