  • Provide administrative support to the site management team (PGM, OM, MM).
  • Oversees and manages the site documentation system, including storage and retrieval, and data entry. Sending and receiving off site correspondence.
  • Can be trusted with sensitive and confidential matters as may be required.
  • Prior to COD supports the management and control of the documentation review process and the final documentation handover and logging.
  • Support the departments in processing the site Operational and Maintenance procedures.
  • Manage all incoming and outgoing communication (all official communication, documents, letters, and post).
  • Scheduling and coordinating meetings, interviews, events and other similar activities, and taking meeting minutes as may be required.
  • Preparing business correspondence, agendas, and presentations, typically using Microsoft Office
  • Coordinating between departments and operating units in resolving day-to-day administrative and operational problems.
  • Liaise with Dubai HO for arranging travel and site visits, and other requirements as may be requested by the site management team.
  • Support the processing of all new employees to site.
  • Assisting with all aspects of administrative management, directory maintenance, logistics, stationary and equipment procurement and storage.
  • Effective resource utilization.
  • Greeting guests and visitors.
  • Perform other duties as assigned.
  • Awareness of Quality, Occupational Health & Safety and Environment Management system principles
  • Excellent communication skills in English Language
  • Computer literate.
  • Bachelor’s degree in Business Administration
  • 3 Years in similar position
