Job Description:
We are looking for a reliable, well-organized, and professional Office Administrator / Front Desk Officer to handle daily administrative and front desk responsibilities at our office in the UAE. The ideal candidate will be the first point of contact for our clients and visitors, ensuring they receive a warm and professional welcome. The role requires strong communication, organization, and customer service skills.
Key Responsibilities:Front Desk Duties:
- Greet clients and visitors warmly and direct them appropriately.
- Manage incoming phone calls, emails, and messages and route them to the relevant staff.
- Maintain the reception area, ensuring it is clean, organized, and welcoming.
- Schedule and confirm appointments and meetings for management or consultants.
Administrative Support:
- Perform general administrative duties such as data entry, document preparation, filing, and photocopying.
- Maintain and update office records, databases, and client files (physical and digital).
- Assist in handling incoming and outgoing correspondence (emails, mail, courier, etc.).
- Support the accounting and auditing teams with document collection and basic coordination tasks.
Office Management:
- Maintain office supplies inventory and place orders as needed.
- Ensure office equipment (printers, phones, etc.) is functioning and coordinate maintenance.
- Assist in preparing reports, presentations, and documentation for clients or internal use.
- Follow and enforce office policies and procedures.
Client Handling:
- Provide information about services to walk-in clients or over the phone.
- Maintain client confidentiality and handle sensitive information professionally.
- Help in collecting documents from clients for accounting, auditing, or tax purposes.
Requirements:
- Proven experience in office administration or front desk roles (preferably in finance or consultancy).
- Strong verbal and written communication skills (English is mandatory; Arabic is a plus).
- Proficiency in MS Office (Word, Excel, Outlook).
- Good organizational and time-management skills.
- Professional appearance and behavior.
- Ability to handle multi-tasking and work under minimal supervision.
