Job Summary:
We are seeking a young, energetic, and highly organized Personal Assistant to support the Managing Director. This role requires someone proactive, detail-oriented, and capable of anticipating the needs of a fast-paced executive environment. The ideal candidate must possess excellent communication skills, strong time management, and the ability to multitask across both professional and personal responsibilities. A high degree of professionalism, discretion, and adaptability is essential, as the role involves managing executive schedules, handling confidential matters, coordinating with internal and external stakeholders, and ensuring smooth day-to-day operations across both business sectors.
Key Responsibilities:
- Manage the Managing Director’s (MD) calendar, schedule appointments, and coordinate internal and external meetings; prepare agendas, take meeting minutes, and ensure timely follow-ups.
- Monitor, manage, and respond to the MD’s emails, prioritizing messages and ensuring prompt communication with internal departments and external stakeholders.
- Draft, review, and proofread official correspondence, business documents, presentations, and reports, ensuring high accuracy and professionalism.
- Coordinate all travel arrangements for both business and personal matters, including flights, hotel bookings, visas, transportation, and itinerary management.
- Track and follow up on tasks and deadlines across departments to support the MD in ensuring timely completion of business and strategic actions.
- Provide support in preparing documentation for trading contracts, real estate transactions, and business proposals.
- Organize and maintain digital and physical filing systems for both business and personal records.
- Support the MD with personal errands, appointments, reminders, and day-to-day task management as needed.
- Liaise with vendors, service providers, and personal contacts on behalf of the MD, maintaining smooth operations across both personal and professional matters.
- Anticipate the needs of the MD to ensure daily operations and personal schedules run smoothly and efficiently.
- Handle highly sensitive and confidential information with discretion, professionalism, and integrity at all times.
Qualifications & Skills:
- Bachelor’s Degree in Business Administration, Communications, or a related field.
- 3–5 years of experience in an Executive or Personal Assistant role.
- Excellent written and verbal communication skills in English.
- Highly organized with the ability to multitask and prioritize in a dynamic environment.
- Proficient in Microsoft Office Suite (Outlook, Word, Excel, PowerPoint).
- Discreet, trustworthy, and professional.
- Young, active, and well-presented with a positive, can-do attitude.
